If you’ve enjoyed the wedding planning process, but you’re starting to think you might need some extra help on the day itself, Wedding Day Management could be the perfect solution. Read on to discover how it works and who it’s for…

What is Wedding Day Management?

Wedding Day Management, also known as on-the-day or day-of coordination, is a service where a professional coordinator ensures your wedding day runs smoothly.

At Benessamy, we step in during the final few weeks to oversee all the details, coordinate with your venue and suppliers, manage the wedding timeline, and address any on-the-day issues that may arise.  We work hard to ensure the day reflects what you’ve imagined, which sometimes means using our expertise to handle situations that don't go according to plan.

How Does it Work?

Our experienced wedding coordinators work behind the scenes to ensure seamless efficiency from start to finish. Our Wedding Day Management service includes:

  • Meeting with you 4-6 weeks before your wedding to run through the plans you've made.
  • Contacting your venue and suppliers to confirm details for the wedding day and set up schedule.
  • Production of a detailed schedule for your wedding.
  • Overseeing the pre-wedding setup and décor. This can take a number of days during the lead up to the wedding itself, especially for marquee weddings and other complex venue set-ups.
  • Working with your venue and suppliers to ensure everything is set up in accordance with your wishes
  • In-person on the day co-ordination

3 Signs You Might Need Wedding Day Management

1.    You’ve planned everything yourself, but you’re suddenly feeling overwhelmed.

In the final few weeks before your wedding, the pressure increases, and the admin cranks up a notch too. All of a sudden, suppliers want to know exactly where and when they should be arriving. There are countless decisions to be made, details to be confirmed, and you still don’t know who’s going to set-up your ceremony backdrop. Wedding Day Management covers all these things and more, liaising with suppliers and banishing overwhelm so you can relax and enjoy your wedding day.

If you’re getting married at home or on private land, Wedding Day Management tends to be even more crucial. There are usually lots of logistics to consider. Equipment and furniture deliveries, caterers arriving and setting up… the list goes on. Having a professional on hand to field suppliers' calls and resolve any issues will significantly ease your load in the days leading up to your wedding.

2.    You’ve put a lot of time and effort into your wedding plans, and you want to make sure everything comes together perfectly on the day.

We understand completely. Those personal touches and creative details you’ve worked so hard to include are incredibly important. You need someone who’s committed to ensuring everything is set up exactly as you’ve imagined. This is where we come in! Our coordinators work hard on your behalf to deliver a wedding day that perfectly reflects your style and vision.

You’ll have made hundreds of decisions, but on the day, we’ll be there to see them through. We step in early enough to fully understand your plans, tie up loose ends, and ensure everything is executed perfectly.

3.    You want your loved ones to relax and enjoy the day.

You’ll be busy getting married, so it’s unlikely you’ll be asked to confer with suppliers or keep track of the timeline. But someone has to do it, and without professional help these tasks often fall to parents, siblings, or close friends. But you didn’t invite your nearest and dearest to be your unofficial setup crew! Whether it’s lighting candles, cueing the ceremony, or managing final touches, those jobs shouldn’t fall to your mum or bridesmaids. We make sure our clients' loved ones are wedding guests, not coordinators.

Our Venue Already Has a Coordinator, Do We Still Need This Service?

Venue coordinators tend to focus on venue logistics, not the overall vision. We look after the entire event, from the moment suppliers arrive to the last dance, and a lot of what we do relates to things that happen away from the venue. For example, guest transport and accommodation or offsite ceremony arrangements. Read How Will Hiring a Wedding Planner Help? to learn more.

What Our Clients Say

‘Val & her Team were absolutely wonderful; we couldn’t have done it without them. In the weeks leading up to the wedding day, Val took complete control of all the final details, communication with suppliers and questions from guests, which was such a welcome relief as the stress levels began to rise! On the day, having the peace of mind that Val was there meant we could truly relax, and didn't have to worry about anything.’ – Jess & Ben
